The admin tool is new with version 1.8 of the Club Membership System. Its purpose to allow the user to define how the Club Membership System is to function and allow various administrative tasks to be performed.
This section shows you which modules and features have been licensed and which are enabled / disabled. The above example shows the following modules (shown in green) have been licensed:
Modules cannot be diasbled.
This section also shows the status of all the features (shown in black). In the above example:
If you wish to enable or disable a feature use the mouse to click on the box to make a tick appear or disappear. You may wish to disable a feature if you have purchase a site licence but do not wish to use a certain feature that is available.
This section allows you to determine how the system handles members.
Option | Description |
Enable deletion of members | Enabling this option allows a member record to be completely and
irrevocably deleted from the member database. When enabled the Delete Current Member becomes available from the Action menu when viewing a member. |
Changing a member's type automatically updates expiry date. | This option affects the expiry status when a members type is
changed.
This option does not prevent member expiry from being changed in the normal manner when editing a member. |
Use pre-created membership cards with pre-assigned membership IDs | This option allows the system to be used with pre-created membership
cards which already have the membership ID set. When enabled the Add Member action requests the ID of the member to be added before allowing the member detailed to be edited. |
Add new members to pending card print list | When this option is selected any new members added or any members whose name or photo changes will be added to a "To be printed" list. When membership cards are printed they are removed from the pending list. |
Printing from Member View removes from pending card print list | When the pending card print list is enabled selecting this option will remove a member from the pending print list if they are printed from the member view. |
Clear pending card print list (button) | Pressing this button will remove all the members which are in the pending print list. The button will only be enabled if Add new members to pending card print list is selected and there are members in the pending print list. |
This section allows you to determine how the system handles passes.

Use pre-created passes with pre-assigned codes | This option allows the system to be used with pre-created pass
cards which already have the membership pass code. When enabled the Add Pass action requests the pass code to be entered before allowing the pass detail to be edited. |
Enable deletion of passes | Enabling this option allows a member record to be completely and irrevocably deleted from the member database. |
Add new passes to pending card print list | When this option is selected any new passes added will be added to a "To be printed" list. When the corresponding passes are printed they are removed from the pending list. |
Enable editing of pass attributes | When enabled certain attributes of a pass that are normally defined by the pass type can be edited. This includes the entry and expiry control fields which are normally disabled when editing a pass. |

This section allows you to define various aspects of how the FrontGate module operates.

New members are charged an entry fee (Only available when transactions are enabled) |
When selected and a new member is added via the FrontGate module the new member will automatically be charged for entry to the club. |
Passes have a value that is deducted from entry
charge (Only available when transactions and passes are enabled) |
When selected pass types can be assigned a value which is offset
against any entry charge a user may incur when entering the Club. This
is useful in circumstances where a club uses a combination of passes and
money to pay for entry to a club Example #1: if a member has a pass that allows entry on weekdays only it may have a value of £20. If he tries to enter at the weekend the entrance fee may be £25. Therefore the member will have a shortfall of £5 which will need to be paid. Example #2: if a member has a weekend pass values at £25 and wants to enter during the week (value £20). Then only the first £20 of the pass value is used to offset against the entry charge, the member is not refunded £5. |
This section can be used to define the function key definitions used by the FrontGate module. Double-clicking on an entry will allow it to be changed.
This section allows the user to perform a simple backup and restore of the Club Membership System data. The backup created is simply a copy of the data area used by the system and is not compressed. It is recommended that the backup is stored on a separate computer or copied to more permanent offline storage such as DVD-ROM or tape.
This section allows the user to perform various miscellaneous tasks related to the Club Membership System.
It is highly recommended that the data on this section is not changed unless requested to do so by SwiftTec technical support.
This section allows you to specify where the various data components of the system are stored. Please note that changing these settings DOES NOT move the data.
This section can be used if an aspect of the data storage grows beyond disk capacity. For example if there is not enough room to store the member photos on the current disk the Specify photos directory can be selected and a new directory/folder specified. If changed the member photos must be moved to the new folder by the user using windows explorer or some other method.
